Registration Procedures and Conditions

The conditions of family membership and player registration are listed on the club player registration and family membership form and commit the players and their guardians as signatories to:

  • Accept the determination of the Management Committee or its nominee in the appointment of coaches, team officials and the structuring of teams.
  • Respect and abide by the respective Codes of Ethics applying to players, officials, parents and supporters as set out in the BJRU and Club Handbooks.

Registration Fees

All fees in the structured scale of fees are a one-off payment for the individual player, and include insurance coverage required by the ARU, medical costs and affiliation fees with the QJRU and BJRU. The cost of a laminated team photo for all and a pennant for Under 6 to 12 players and Team Trophies for Under 13 to 17 is also included in the fee structure.

Fee Schedule
  • 1st Player $225 – Total $225
  • 2nd Player $165 – Total $390
  • 3rd Player $110 – Total $500
  • 4th + Player $100 – Total $600

Unless all registration requirements including completion of Club and ARU registration forms, provision of age verification documents and payment of all fees (unless alternative arrangements have been made with the Treasurer) have been finalised before the club competition commences, a player may be declared ineligible to play as of a date determined by the Committee.

Drug and Alcohol Policy

The Club supports the responsible use of alcohol.  Accordingly it is not considered appropriate for coaches, managers and other persons assisting with any team to arrive at any team related event, whether that be training, a match, team function or otherwise, having recently consumed alcohol.  The consumption of alcohol by any such person during the course of training or a match is strictly prohibited.

The use of illegal drugs at any time is not considered appropriate.

The Club reserves the right to direct any person showing signs of intoxication, of having been affected by drugs or behaving in an inappropriate manner to leave the Club or the match or training facility immediately.  This includes being directed to leave any match or training facility that has been made available to the Club or at which the Club is playing.

A failure to behave responsibly at any facility operated by the Club, being utilised by the Club or at which the Club is a visitor may result in that person being banned from Club activities.  You are reminded also that the QJRU Management Committee and BJRU Competition Committee have the power to cite players, coaches, and spectators for behaviour that may bring the game of Rugby into disrepute.

At the Club, alcohol will be served only in accordance with the conditions of the Club’s licence.  Alcohol is restricted to the clubhouse and pavilion area only. Visitors are to sign the visitors’ book.

Alcohol will only be served during the license hours and only alcohol purchased from the canteen is to be consumed. No alcohol is to be brought onto or taken from the property.

Photography / Video Policy

The Club has adopted a policy that it does not oppose registered players being photographed or filmed whilst playing or training for Rugby without their or their parents’ consent, so long as that photographing or filming is not done illegally, is for private use and is undertaken by persons with a genuine interest in the player or team concerned.  The Club acknowledges that the incidental photographing or filming of other players and spectators will occasionally occur.

Managers ought to advise opposition teams of this policy and should any person object, the player concerned is to be removed from the field of play and the game allowed to continue.

Privacy Policy

The Club respects the privacy of the individuals in relation to whom it collects, uses, discloses and holds personal information.  A privacy policy is in place to safeguard the privacy of your personal information.  It is a policy that may change from time to time as appropriate but its core features are as follows.

Personal information is collected on the forms that are completed by or about you at the time of your registration, and on occasions, throughout the year.  The information that is collected will depend upon the purpose for which it has been collected but ordinarily is limited to your name, address, contact details, playing history, health condition, occupation and banking or credit card details where they have been provided by you in the making of any payment.   That information is collected and used and will only be collected and used to assist the club in its operations and in a lawful manner.  The security of your personal information is very important and the Club does whatever is reasonably necessary to ensure that its integrity is maintained and able to be accessed only by the limited number of persons who require it to carry out Club activities.  Disclosure to unauthorised persons is not permitted.  You have the right to view the information that is held about you (or any children for whom you are primarily responsible) and the right to correct it where necessary.  We do however reserve the right to share your personal information with third parties if we believe such action is reasonably necessary for the objects described above, for example to conform with the requirements of the law, where your health or the health of your children is concerned, to defend our or your rights or property or to investigate or take action in relation to any wrongdoing.

If at any time you wish to view the personal information that is held about you, if have concerns about any of the personal information that is held by the Club about you or if you wish to know more about the Club’s policy in relation to such matters, you may contact the Registrar.

Team Allocation Policy

General

At all times, the object of the Team Allocation Policy is to create an environment which maximises the opportunity of the players to enjoy their Rugby in the safest possible way.  To this end, the Team Allocation Policy discriminates between players of primary school age as opposed to secondary school age.

Under 6 to Under 9 Teams

The Club endeavours to ease younger players in these age divisions and particularly those in the Walla age groups (Under 6 to Under 8) into the Club through placement in a team comprising family, school or geographically based friendships.  As far as possible, consideration will be given, on request, to help for car pooling arrangements.  Consideration is also afforded to families with more than one player by streaming family members in teams that will be playing at the same ground on the given day.  Player and team numbers may limit this factor.  This category of request will be given priority over and will limit also the ability to meet other bases of requests.

The safety of all players, including the safety of opposition players, will be an important consideration in selections in these age divisions, particularly with the growth in the size and strength of players in the Under 10 to Under 12 age divisions.

Coaches are given first option to allocate players and reach agreement on their teams.  If necessary, selection of teams in the Under 6 to Under 12 age divisions will take place with the assistance of the Club Team Allocation Policy Committee.

Under 10 to Under 17 Teams

In response to the onset of adolescence and the corresponding physical, emotional and social changes in the players, the grading policy changes in these age divisions.  The policy for the selection of teams in these age divisions is based upon:

  • first and foremost, the safety of the players;
  • then upon the competitive merits of each player based upon past performances and current form;
  • then the needs to fill given positions in the team to the best advantage of the team.

This policy reflects the realities and requirements of the graded BJRU competition.  The policy is implemented fairly and impartially.  A selection committee of coaches and experienced selectors (who do not make grading decisions in respect of their own children) will make these decisions after trials at the start of the season. This does not include the u16/17 age group which will be based on previous grading and current form. A review committee will be appointed by the Club committee in the event a player wishes to appeal a grading decision made by the selection committee.

Early Registration

All players are encouraged to register at the beginning of the season.  Players joining mid-season, i.e. after their school Rugby commitments, are welcomed. However consideration must be given to those already registered in those teams.  Those players registering mid-season are not guaranteed a position in the team.  It is therefore important that players register prior to the season commencing and indicate they will be starting late.  This will at least guarantee you a position in the team.

Laws of the Game

All of us can assist by ensuring we read the Laws concerning a particular age group.  The Pathway Laws, and the Laws of the Game (including U19 Variations) cover how the game is played at each level.   These can be found on the club website under Coaches and Referee Resources.

BJRU Competition Rules (Handbook)

The Brisbane Competition Rules, which govern how the competition will be conducted, are available for viewing on the BJRU web site www.bjru.com.au.   Please read them.

For those without access to the Internet there is a copy of these documents in the BJRU Club Handbook, which is inside the Rugby Office for your use.

Parent/Carer Responsibilities

In addition to those responsibilities described in the Code of Conduct, families are required to:

  • Arrive punctually for training sessions, and advise managers of absences in advance where possible.
  • Arrive at least 30 minutes prior to the start of the game or as the Coach / Manager directs, to ensure warm up time is available.
  • Notify Manager / Coach if a player is unable to attend games, thus enabling time to organise a replacement, or alternate plan.  Remember: if you can’t make it, but the player is available, the team will organise for pick up and return.   Ring the Manager or Coach.
  • Attend as required when rostered team duties including field set-up and servicing the Canteen and Barbecue duties are issued.  Note: Team Managers will be notified of team rosters, and are expected to call on all families in the team.  At least one and possibly more team rosters for the year will be required.
  • Take pride in club fields and clubhouse surrounds.  As players are leaving the club facilities, encourage them to pick up paper and other refuse and deposit it in rubbish bins.  This applies on both training nights and game days.

Rosters

As we are a volunteer organisation, everyone is requested to help out with tasks such as Game Day Set Up, Dismantle, and Canteen Roster – both at home games and training nights, and other tasks as the need arises.

Roster requirements are allocated by team. The Team Manager then roster those in the team to the tasks, this will include washing jerseys. DO NOT wash jerseys in HOT water, or put them through a DRYER.

All teams will be rostered on duty for one or more game days during the season, to perform these vital duties.

All families are expected to participate and cooperate with team management in servicing these requirements.

Parking

The sheer volume of numbers attending training nights and home game days, places a premium on parking in the surrounding streets. It is essential that our membership respects the following to limit any problems:

  • The property of local residents and do not park across driveways and gateways impeding access to those properties.
  • The property of our neighbours at the Bowls Club – particularly the disability spaces at their club entrance gate.
  • The vital family timetables and commitments of fellow members and do not park across their already parked vehicles impeding their movement when ready to depart.
  • The need to reduce speed in the area as a consideration for local residents and as a safety precaution with so many young children crossing the roads.

Team Administration

 

Under competition rules, each team is required to nominate the following personnel:

  • Coach (accredited)
  • Manager (Team Official Vest)
  • Up to Two Trainers (u8 to u17) (Trainer Vest)
  • Linesperson (u8 to u17) (accredited) (Blue TJ Vest)
  • Field Marshall (Orange Vest) for home games
  • Referee (u6 - u9 only) (accredited) for home games

All roles are voluntary. Team Managers are to inform the registrar of the team officials, and ensure that coaches, referees and linepersons requiring accreditation are registered to attend the required course of  training, as described under Accreditation, below.

Match Day

At all matches one of the Team Management is to at all times wear the unions approved vest, Red with TO (Team Official) marked in Yellow.   The ‘TO’ is the contact to which all officials can go to with any problems/questions in relation to their team, including the enforcement of the Code of Conduct.   The Team Manager would normally fulfil this role.

In addition a qualified linesman (blue vest) and trainer/s (yellow vest) is to be appointed for every game and at home a ground official (orange vest) and referee (u6 to u9 only) is to be provided.

Training Night

Teams must ensure that goal post protectors are in place before training commences.

At the completion of training, teams are required to ensure that all gear, including goalpost protectors, is returned to the gear room. Team management is required to organize departing players in an emu‑parade to remove all papers and any refuse from the field as they leave.

Water Bottles

In order to prevent the spread of meningococcal and other transmissible diseases do not allow your child to use other children’s water bottles.

It would be safe if the drinking nipple had not been touched by either hand or mouth and squirted directly into the mouth but with all age groups you cannot guarantee this.

Managers or water runners might consider the following:

  • Immersing the bottles in a large container after each training / match containing approx 1 cup of household bleach per 10l.
  • Rinse before use and leave nipples pulled out and ready for use and encourage all users not to touch the tops of the bottles but to squeeze directly into mouth.
  • If you are uncomfortable with the use of chlorine then your supermarket will have a babies bottle wash in the baby section but it is quite expensive.
  • Consult your preferred doctor for advice on other disinfectants or his opinion on the measure of chlorine to water.

Oranges

 

The use of oranges at half time is not recommended due to the acidic nature of the fruit. It is recommended that only water and high glucose lollies (optional) are consumed during the half time break.

Team Paperwork

The club will regularly distribute a variety of information to each team. Email and placement on the club website is the primary means of communication.

Team Managers and Coaches are to send an email to This e-mail address is being protected from spambots. You need JavaScript enabled to view it to ensure they are on the club distribution list. It would be prudent for teams to have additional parents on the distribution list to ensure all bases are covered for absences etc.

It is the Team Managers responsibility to collect and distribute information to the Team.   Team Managers will be advised to pickup hard copy information from the club house when required.

Return of Match Results

Score sheets must be returned to the Ashgrove clubhouse after all matches. Completed sheets must be placed in the Results Box on the playground side of the green clubhouse (next to the roller doors).

Match results for matches played at Yoku Rd must be placed in the Results Box as soon as practicable after the match. Away teams are to place the sheets in the Results Box by NLT 8am MONDAY following the match.

PLEASE NOTE:

Failure to return the completed Match Results by the indicated times will result in the loss of competition points for that round and/or fines.

Wet Weather Cancellations

Training. Generally if it is raining training will still be on, the Coach will make the decision to call it off and will inform the team.

Thunder & Lightning. If thunder and lightning is in the vicinity, training is to cease immediately and players move under cover.

Games. Generally games are played even if it is raining.   If it has been raining heavily for a period of time and the grounds are potentially unplayable you should note that the following occurs:

Game cancelled the night before. The Manager is to ring you using the contact system set up within the team (generally a Phone Tree, manager rings three or four and they subsequently ring three or four, calling back the Manager when everyone has been informed or otherwise). All players are to check the club website

Cancelled on game day. This will occur from 7am with the Committee informing Managers, who will then ring you. Please do not ring before 7.30am as you will delay the system as outlined above. All players should check the club website if in doubt.

No Contact. If after 7.30am you have not been contacted please check the club website and then ring the Manager and then the Coach and lastly the Canteen (3366 1526) or Rugby Office (3366 2567).

Clothing Shop

The Clothing Shop is located on the playground side of the green clubhouse (next to the roller doors) and usually holds a small range of polo shirts, t-shirts, caps, playing socks and shorts is held. Please locate a club official to purchase clothing if the clothing shop is not open for sale. It is usually only open on training nights.

Accreditation

 

  • SmartRugby Safety Session: SmartRugby is an occupational health and safety program for Australia's Rugby participants. It is a compulsory minimum requirement for every coach and referee participating in Rugby. SmartRugby is mandatory, requiring qualification every two years. The Coaching and Refereeing Kids Courses includes the SmartRugby Session.
  • Walla (u6-7) Mini (u8-9) & Midi (u10-11) Coaches: Must attend a Coaching Kids Course or hold a Level 1 or higher accreditation.
  • Walla (u6-7) & Mini (u8-9) Referees: Must attend a Referee Kids Course or hold a Level 1 or higher accreditation.
  • Under 12 to Under 18 Coaches: Must attend a SmartRugby Course and must complete or hold a current Level 1or higher accreditation.
  • Linespersons of teams in Under 8 and above: Must attend a SmartRugby Course and hold a current ARU Touch Judge accreditation.

Course registration forms, and other information regarding accreditation can be obtained from the QRU Website. The club sponsors attendance at all courses. Completed registration forms should be emailed as per the web instructions. For those without web access contact the Administrator. All course registration is web based.

Child Protection Act - Blue Cards

The introduction of new legislation on 17 January 2005 requires all people who work with children under 18 to hold a current Blue Card. All coaches, managers and members of the committee are to submit an application under the Act. Injury Policy

All managers and coaches are to be conversant with the BJRU Club Handbook http://www.bjru.com.au/Resources.aspx?root=~/Content/Resource%20Library/Administration/ Section 2.8 Insurance, Section 8.1 ARU Medical and Safety Recommendations 2010, and 8.3 Blood Policy Guidelines.

Any player concussed shall not participate in any match or training session for a minimum period of three weeks from the time of the injury, and may then only do so when symptom free and declared fit after a proper medical examination. Such declaration must be recorded in a written report prepared by the person who carried out the medical examination of the player.

Any player otherwise injured (to the extent of him/her being taken from the field and replaced as an injured player) should not resume contact training or playing unless the coach of the team is entirely satisfied that the player is no longer injured. If the coach is in any doubt whatsoever then that player shall not resume contact training or playing until he/she provides a medical certificate certifying he/she is fit to participate in contact training and playing.

Players are strongly encouraged to wear mouth guards to training and matches. Moulded mouth guards from the dentist afford the best protection. Do it yourself variants are available from chemists and most sports stores.
